Natalie Gates Counseling LLC, doing business as Own It Counseling ("Own It Counseling," "we," "us," or "our"), operates the website located at ownitcounseling.com (the "Site"). This Privacy Policy explains what information we collect through the Site, how we use it, who we share it with, and the choices available to you. It applies to the Site only — it does not describe the confidentiality protections that apply to the clinical relationship once you become a client, which are governed separately by professional ethics rules, Colorado law, and, where applicable, a separate Notice of Privacy Practices provided at intake.

This policy is written with Colorado residents in mind and references the Colorado Privacy Act (CPA), Colo. Rev. Stat. § 6-1-1301 et seq., and Colorado's data breach notification law, Colo. Rev. Stat. § 6-1-716. Own It Counseling is a small, solo private practice and does not currently meet the CPA's applicability thresholds (processing the personal data of 100,000 or more Colorado consumers annually, or 25,000 or more while deriving revenue from the sale of personal data). We're nonetheless following CPA-style principles below as a matter of good practice and transparency.

1. Information we collect

We collect information in the following ways:

Information you provide directly

  • Contact form (contact.html): name, email address, preferred contact method, service interest, general location, and the message you write. Submitting this form does not create a therapist-client relationship — see Section 6.
  • Newsletter signup (footer, and the resources page modal): email address only.

We intentionally keep these forms short. Please don't include sensitive health details, diagnoses, or anything you wouldn't want stored outside of a clinical record in the free-text message field — save that conversation for a session once we've connected.

Information collected automatically

We use Vercel Web Analytics to understand overall Site traffic (for example, which pages are visited and roughly how many visitors we get). This tool is designed to be privacy-friendly: it does not use cookies and does not track you individually across other websites. We do not use advertising trackers, retargeting pixels, or cross-site behavioral advertising cookies on this Site.

Information from third-party booking

Scheduling an appointment happens through JaneApp, a third-party practice management platform, at a separate domain (ownitcounseling.janeapp.com). Information you enter there is subject to JaneApp's own privacy policy and terms, not this one. We encourage you to review JaneApp's policies directly.

2. How we use your information

  • To respond to inquiries submitted through the contact form.
  • To send the newsletter to subscribers who sign up for it, and to manage that subscription (including unsubscribing).
  • To detect and prevent spam or abusive submissions (for example, using a honeypot field and basic rate-limiting on form submissions).
  • To understand aggregate Site usage and improve the Site.
  • To comply with legal obligations.

We do not sell your personal information, and we do not use it for cross-context behavioral advertising or profiling that produces legal or similarly significant effects.

3. Who we share information with

We share information only with service providers who help us operate the Site, and only as needed for them to provide that service:

  • Supabase — hosts the database that stores contact form and newsletter signup submissions.
  • Resend — delivers the email notification when someone submits the contact form, and manages the newsletter subscriber list and sends.
  • Vercel — hosts the Site and provides privacy-friendly, cookieless traffic analytics.
  • JaneApp — an independent, third-party scheduling platform used for booking appointments (see Section 1).

We do not share your information with data brokers, and we do not sell it. We may disclose information if required by law, court order, or to protect the safety of any person.

4. Data retention

Contact form submissions and newsletter subscriber records are retained for as long as reasonably necessary for the purposes described above, or until you ask us to delete them. You can unsubscribe from the newsletter at any time using the link in any newsletter email, or by contacting us directly.

5. Your privacy choices

Regardless of whether the Colorado Privacy Act formally applies to our practice size, you may contact us at any time to:

  • Ask what personal information we hold about you;
  • Ask us to correct inaccurate information;
  • Ask us to delete your information (subject to any legal retention obligations); and
  • Unsubscribe from marketing emails.

To make a request, contact us at nataliegatescounseling@gmail.com. We'll respond within a reasonable time. If we decline a request, you may appeal by replying to our decision, and if we deny an appeal, Colorado residents may contact the Colorado Attorney General's office.

6. This Site is not a substitute for clinical care or emergency services

Nothing on this Site, and no message sent through the contact form, creates a therapist-client relationship. That relationship begins only once a formal intake process is completed. If you are experiencing a mental health emergency, call 911 or go to your nearest emergency room. This Site and its associated email addresses are not monitored 24/7 and should never be used for urgent or emergency communication.

7. Children's privacy

This Site is intended for adults and is not directed to children. We do not knowingly collect personal information from children through the Site.

8. Data security

We use reasonable administrative and technical safeguards to protect information submitted through the Site, including encrypted transmission (HTTPS), access-restricted databases, and rate-limiting/spam protections on public forms. No method of transmission or storage is completely secure, and we can't guarantee absolute security.

In the event of a security breach involving your personal information, we will notify affected Colorado residents in accordance with Colo. Rev. Stat. § 6-1-716.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Site after changes take effect constitutes acceptance of the revised policy.
